The Department report answers the questions a facility's management asks, not an individual therapist: how many patient-days the wards produced, how full the beds and places are, how many executions fall to each person and each device, how many patients are waiting, and how much of the annual NFZ contract has already been realized.
It is a read-only report — it changes no data and issues no documents. It recomputes the numbers from scratch every time out of the events recorded in Heltio, so a corrected discharge date corrects the report immediately.
How to do it
Open the report and set the period
In the side menu: Reports → Department report. Under the heading stands the chosen range — the last 30 days by default. You change it with ready-made ranges (This Week, Last month, Last 3 Months, This year) or through Custom → Apply. Granularity: switches the charts between Day, Week and Month.
The period cannot be longer than 366 days and cannot end before it begins.
Four places make up the whole reading: (1) the period and granularity choice in the header, (2) the row of patient-day cards, (3) the bed and place occupancy bars, (4) the realization-against-limit table at the bottom of the page.
Read the patient-days
Three cards at the top: Inpatient patient-days, Day-rehab patient-days and Total patient-days.
Inpatient patient-days are counted from ward stays: the day of admission counts, the day of discharge does not. A patient admitted and discharged the same day gives one patient-day; admitted on Monday and discharged on Wednesday — two. A stay longer than the period counts only for the part that falls inside it; a stay still open counts to the end of the period.
Day-rehab patient-days are the number of attendances recorded in day rehabilitation. Both numbers come from separate sources and never overlap — which is why the total is simply a sum.
Check the occupancy
Bed occupancy shows every ward with two bars: Current — the beds occupied at this moment — and Average across the whole period. On the right stands the figure in the form occupied / total; when it is exceeded the number turns red and Over capacity appears.
Place occupancy works the same way for day centres and gives the number of occupied places against the centre's capacity, for example 12 / 48 places occupied. Both numbers follow from the current state, not from a separate counter, so discharging a patient changes them instantly.
Compare productivity
Productivity per therapist counts the treatment executions recorded in the period and attributes them to the person who performed them. Productivity per device does the same for devices and stations, and gathers treatments performed without equipment into a No device bar — if that bar is the tallest, it usually means the team does not pick a device when logging, not that they do not use one.
See how many patients are waiting
Waitlist (current) gives the number Waiting and a breakdown by service type. This card is labeled Current snapshot and deliberately does not react to the chosen period — a queue is a state right now, not a sum from the past.
Compare realization with the NFZ limit
NFZ realization vs limit sets four rehabilitation settings — Inpatient general-systemic, Inpatient neurological, Day-rehab centre, Outpatient physiotherapy — against the annual limits written into the contract. The columns: Rehab setting, Realization %, Realized, Annual limit. You switch the Contract year between the previous, current and next year.
A setting with no limit entered shows No limit set. Exhausting a limit — including hitting its value exactly — raises an Over capacity warning. Under the table Heltio adds how many services in the period have no rehabilitation setting assigned; those enter no row at all.
When something goes wrong
End date must be on or after the start date
What this means: The date range is reversed.
Period cannot exceed 366 days
What this means: The range you chose is longer than a year. Patient-days are counted day by day, so the period is limited by design.
No data for the selected period
What this means: There are no stays, attendances or executions in the period for the card to count.
No NFZ-coded services in this period
What this means: No service in the period has NFZ coding recorded, so there is nothing to compare with the limit.
No NFZ contract for 2026
What this means: No limits are entered for the chosen year.
Could not load the report
What this means: A single card did not fetch its data; the others work independently.
Who has access
Clinic AdminThe Owner, the Administrator and a Coordinator can see the report. The other roles get Access Denied with the explanation that analytics is reserved for owners and administrators. The NFZ realization vs limit section additionally requires the NFZ data permission — the same three roles have it, so in practice it is always seen together with the rest of the report.
