Day rehabilitation is the list of patients admitted to a day centre together with a daily attendance register. It replaces the paper patient-day sheet: once a day you tick off who came, and Heltio counts attended days against planned ones.
The screen works only at facilities of type Hospital. At other practices you see a greyed-out version with a "Hospital feature" notice — it cannot be enabled from settings on your own, Heltio support does it.
Before you start
A day centre is an organizational unit of type Day unit. Without one the screen shows No day rehabilitation unit configured and sends you to Settings → Organization structure. Create the unit there before you enrol the first patient.
When there are several centres, a Select day centre list appears above the table. With a single centre Heltio simply shows its name.
How to do it
Enrol a patient at the centre
Click Enrol patient. In the Enrol patient dialog fill in:
- Patient — a search across the practice records.
- Day unit — the day centre the patient goes to.
- Start date — it cannot be later than today.
- Planned treatment days — from 1 to 365.
The save is confirmed with Patient enrolled. A new enrolment has the status Enrolled and takes a place at the centre straight away.
Record attendance for a chosen day
Above the table sits a Record attendance for field with a date. It defaults to today and a future day cannot be named. The date in that field decides which day you are recording attendance for — it does not filter the list of patients.
In the patient's row click Mark present. Heltio confirms Attendance recorded, increases the Attended days counter and — on the first attendance — moves the status from Enrolled to Active.
Narrow the list to what you are looking for
The drop-down next to the centre switches the view between Active only (enrolled and active), All statuses, Completed and Cancelled. The Attended days column shows each enrolment's progress — days attended against days planned.
Open the enrolment record
View enrolment in the row menu opens the record of a single enrolment: Day rehabilitation enrolment with the dates, the planned days, the status and an Attendance history section — the full list of days the patient was at the centre. When nobody has ticked attendance yet, it reads No attendance recorded yet.
Close the enrolment and free the place
There are two ways to close an enrolment:
- Complete enrolment — the patient finished the programme. The dialog warns: "This will mark the programme as completed and free the place."
- Cancel enrolment — the programme was broken off. The dialog warns that this action cannot be undone.
In both cases you give an end date (no later than today) and confirm. Heltio acknowledges with Enrolment closed. A closed enrolment carries a banner saying it was completed or cancelled, together with the date — and can no longer be edited or reopened — a patient coming back to the centre is enrolled afresh.
On a phone
In the mobile app you find the same register under More → Day rehab attendance. The screen works only with a connection: with no network it shows Offline — connect to record attendance and does not queue entries. You tick attendance by tapping the patient's row.
When something goes wrong
No day rehabilitation unit configured
What this means: There is no unit of type Day unit in the organization structure.
Selected unit is not a day rehabilitation centre.
What this means: The unit you named exists but has a different type — a Ward or an Outpatient clinic, for example.
Attendance cannot be recorded for a future date.
What this means: The Record attendance for field points at a day that has not arrived yet.
This enrolment is already closed.
What this means: You are trying to tick attendance or close an enrolment that already has the status Completed or Cancelled.
End date cannot be before the start date.
What this means: The date given in the closing dialog falls before the day the patient started the programme.
The day centre is full.
What this means: Every place at the centre is taken by enrolments with the status Enrolled or Active. The message gives the number of occupied places against the capacity; the enrol button then carries the hint “Centre is full — close an enrolment to add a new patient”.
Failed to load day-rehab data.
What this means: The list did not arrive — usually a momentary loss of connection.
Who has access
Clinic Admin PractitionerThe list and the attendance history are visible to the whole clinical team of the ward — including a technician, a trainee, an occupational therapist, a speech therapist and a psychologist, as well as an account with read-only clinical access.
Only the Owner, the Administrator and a Coordinator can enrol, tick attendance and close enrolments. For the other roles the Enrol patient button stays disabled with the hint Requires coordinator role.
Every enrolment, every recorded attendance and every closure leaves an entry in the audit log together with whose data was viewed.
