Calendar — week grid and list view

The main working screen of the practice: a full 24-hour grid across the week, a switch to the appointment list, filters, drag-and-drop rescheduling and time blocking.

The Calendar is the screen where reception and practitioners spend most of the day. The grid shows the full 24 hours — from 0:00 to 23:00 — for the whole week, and every column is one person, one room or one device.

The same screen has a second face: the View switch turns the grid into a List — a table with filters, export and actions on many appointments at once. It is described in Appointment list.

How to do it

Move through the week

At the top you have Previous week, Next week and Today. On a phone the grid narrows to a single day, so the arrows are called Previous day and Next day.

Choose what a column is

By default columns are people — Practitioner view. If the practice has rooms enabled, Room view appears next to it; if it has devices configured, Devices joins them. With no rooms and no devices the switch is not shown — there is nothing to switch between.

A column is a person, a room or a device — never a day. The day is the vertical axis and always covers the full 24 hours.

Four places you come back to most often. Under 1 are the week arrows and the Today button. Under 2 — the hour axis from 0:00 to 23:00, the same in every view. Under 3 — the column header, that is, what you switch above: Practitioner view, Room view or Devices. Under 4 — the appointment tile, the one you drag in step five.

Narrow down what you see

The Filters button opens narrowing by Practitioner, Service, Status, Patient, Time and Notes. Time has ready-made ranges: Full day, Morning (8–12), Afternoon (12–17), Evening (17–20). Notes have three states: All, Has notes, No notes. Clear all removes everything at once.

Create an appointment or block time

Click an empty spot in the grid — New appointment opens. To make a block instead of an appointment in the same spot, hold Shift and click; the hint Hold Shift + click to block time instead of creating an appointment tells you so.

A block has a Title (for example Lunch, Admin, Meeting…), a Start time, an End time or an All day marker. Saving is confirmed with Time block created., deleting with Delete block and a confirmation prompt.

Reschedule by dragging

Grab an appointment tile and drag it to another hour or another column. A successful move is confirmed with Appointment rescheduled successfully. Dragging the bottom edge changes the duration — confirmed by Appointment duration updated.

For an appointment from a recurring series Heltio stops you with Move only this appointment? This will detach it from the recurring series. Answering Move appointment lifts that single date out of the series; the rest of the series stays untouched.

Open the waitlist

The Waitlist button opens a panel with the people waiting for a free slot. If there is nothing in the preferred window you will see No free slots found in the preferred window — pick a time manually. Details: waitlist.

When something goes wrong

Error

Failed to load appointments. Please try again.

What this means: The browser lost its connection to Heltio, or the query for this week failed.

What to do: Refresh the page. If the message comes back, check your internet connection — the calendar does not work offline.
Warning

Cannot move — conflicts with another appointment

What this means: The same person already has another appointment where you are dropping this one.

What to do: Pick a free hour or move the other appointment first. Overlapping appointments are enabled in the [booking policy](/pomoc/funkcje/kalendarz/polityka-rezerwacji).
Warning

Room is already booked at this time

What this means: The appointment could be moved in time, but the target room has another booking at that hour.

What to do: Pick a different room in the appointment details, or move it to an hour when the room is free.
Warning

This time is outside the practitioner's working hours. Use the override option to book anyway.

What this means: The target hour lies outside that person's schedule.

What to do: Correct the hour, or confirm in the **Outside working hours** dialog — Heltio will then ask for a **Reason for override** and record it in the audit log.
Info

No appointments this week.

What this means: The week is empty, or the filters are cutting everything out.

What to do: Click **Clear all** in the filters and check that you are looking at the right week.

Who has access

Clinic Admin Receptionist Practitioner

Every team member can see the calendar. The difference is in time blocks: a practitioner creates and deletes only their own blocks, and only an administrator or the practice owner can create and delete a colleague's. Moving an appointment outside the schedule requires the override permission — without it you will see Cannot book outside working hours — contact admin.
