Appointment list — filters, printing and bulk actions

The table view of the calendar: narrowing by status, payment and visit card, CSV export, reminders and no-shows marked in bulk, printing a day or a week.

List is the second view of the same calendar — the View switch at the top of the screen, option List instead of Calendar. The grid answers "what is happening at 2 p.m."; the list answers "which appointments this week are unpaid".

This is where you work in bulk: send reminders to twenty people at once, export a summary, print tomorrow's schedule.

How to do it

Switch to the list

Button ViewList. The choice is remembered, so next time the calendar opens straight into that view. Fullscreen hides the navigation and leaves the table alone.

Narrow the set

Above the table there is a Search by patient name or phone… field plus Practitioner, Location and Type. Date range has ready-made values: Today, Tomorrow, This week, Overdue, Custom.

More filters adds Payment, Visit card and Booking source (Online booking or Phone / walk-in). Reset filters clears everything.

Group it or leave it flat

Group by accepts None, Practitioner, Location, Status. Each group header shows the number of appointments. The table columns are Time, Patient, Type, Practitioner, Location, Status, Visit card, Payment, Actions.

The same set of appointments as in the grid, only laid out in rows — and that is why it is here, not in the grid, that you act on many appointments at once.

Under 1 sit the buttons you use to switch away from the grid and back: View, Fullscreen, Print. Under 3 — the filter bar with Date range, More filters and Reset filters. Under 4 — the Status column, the one you group by most often. The checkboxes that turn on the bulk action bar sit along the left edge of the table, before the Time column.

Select and act on many at once

The checkboxes on the left turn on an action bar with a counter of what is selected. Four actions are available:

  • Send reminder — you pick a Template and a Channel (SMS, Email, SMS & Email). The summary tells you how many were sent and how many were skipped.
  • Export CSV — a file marked BOM-prefixed UTF-8 (Excel-friendly), so accented characters open correctly.
  • Mark as no-show — with a warning that the practice may charge a fee for it.
  • Cancel appointments — with an optional Reason (optional); patients get a notification, and the freed slots go to the waitlist.

Print the schedule

Print (or Ctrl+P) assembles a Printed schedule with the columns Time, Patient, Type, Practitioner, Notes and a summary of the day. For a very wide range Heltio warns with a Large print range dialog — you confirm with Print anyway.

Catch up on outstanding visit cards

When visit cards have been left unfilled, a bar appears above the table with a count and a Fill now button. It opens Visit Cards to Fill — a list of appointments without documentation, oldest debt first.

When something goes wrong

Error

Failed to send reminders. Please try again.

What this means: The bulk send did not go through — most often because of a temporary connection problem.

What to do: Retry. Appointments whose reminder already went out will be skipped, so the patient will not get it twice.
Warning

No contact details

What this means: The reason a single appointment was skipped: the patient has neither a phone number nor an email address.

What to do: Fill in the contact details in the patient record and send again.
Info

Reminder sent recently

What this means: The same patient already got a reminder about this appointment a short while ago.

What to do: Do nothing — this is the safeguard against burying the patient in messages.
Warning

Maximum 1000 appointments per export.

What this means: More appointments were selected than fit into one file.

What to do: Narrow the date range and export in several parts.
Error

Failed to mark appointments as no-show. Please try again.

What this means: The bulk operation did not go through.

What to do: Retry. Appointments that are already completed, cancelled or still in the future are skipped by design — the summary shows this.
Info

No appointments match your current filters.

What this means: The filter set is cutting everything out.

What to do: Click **Reset filters** and check the date range — the **Today** value is usually to blame.

Who has access

Clinic Admin Receptionist Practitioner

The whole team can see the list, but the Visit card column is closed to assistants — instead of the card state it shows Practitioner-only, and an attempt to open the outstanding cards ends with You do not have permission to access clinical documentation. Cancelling and marking no-shows require separate permissions; a practitioner without them sees the table but not the bulk action bar.

  • Calendar — the same set of appointments in the hourly grid.
  • Reminders — where the templates sent from the action bar come from.
  • Active session — what happens after you click Start visit.
