Dashboard is the screen that opens right after you sign in: a greeting with your name, the date, a card for the next appointment and a grid of widgets. It is meant to answer one question — what are you doing right now — and that is why the widget layout belongs to you, not to the clinic.
Do not confuse it with Analytics. That page holds numbers for a date range you choose; this one holds today.
How to do it
Read the greeting and the appointment card
At the top stands Good morning, … (Good afternoon, … from midday, Good evening, … from five o'clock), today's date and the appointment count: 4 appointments ahead, and where an appointment is about to begin, next in 25 min as well. Once nothing is left, Heltio writes All done for today — nice work!.
Below sits the card for the next appointment: time, patient, appointment type, duration and room. A patient checked in at reception gets Checked in · 9:45 and moves onto this card ahead of someone with an earlier time. An appointment from a series adds Visit 3 of 10.
Two buttons: Start visit opens the appointment workspace, Patient card opens the record. On a demo account the first of the two is disabled (Not available in demo mode). Once every appointment for today is ticked off, the card is replaced by No more appointments today — you're all caught up!.
Get to know the widgets you start with
By default the dashboard carries: Today's Schedule (a timeline of the day, full width), Quick Actions, Messages and To Handle. The Owner and the Administrator additionally get Today in Numbers — three values for today: appointments, attendance and cancellations, with an Analytics → link.
The To Handle widget gathers three things at once: missing post-visit notes, booking requests and people on the waitlist.
The layout has three levels: (2) a row of narrow widgets at the top — that is where Today in Numbers sits, (3) a full-width widget, namely Today's Schedule, (4) the lower widgets, Messages and To Handle among them.
Arrange the dashboard to suit you
Click Customize. Every widget then gets a Drag to reorder handle, three sizes — S, M, L — and Hide widget. Hidden ones collect at the bottom, under the heading Hidden widgets — click Add to restore. Reset to Default goes back to the starting arrangement for your role, Done ends editing. Changes save themselves.
Add the widgets you are missing
In Customize mode these are waiting to be added: Check-In Status, Reminders, Incomplete Notes, Upcoming Appointments, Booking Requests, Team Overview, Waitlist and Pending Time-Off Requests. Each has a one-sentence description under its name.
Use the quick actions
The Quick Actions widget holds four shortcuts. New Appointment opens the calendar with a new-appointment dialog ready at the next full hour between 8:00 and 18:00; Add Patient opens the patient list with a new-record dialog open. A practitioner additionally sees Today's Notes.
When something does not work
Failed to start appointment
What this means: The appointment has been cancelled in the meantime, started from another device, or your role does not allow you to run it.
Failed to check in patient
What this means: Checking in from the **Check-In Status** widget did not go through — most often because the appointment changed status after the widget last refreshed.
Failed to create reminder
What this means: The **New Reminder** form did not save — an empty title, or a momentary loss of connection.
Who has access
Clinic Admin Receptionist PractitionerEvery signed-in team member sees the dashboard, but which widgets appear depends on the role:
| Widget | Owner and Administrator | Assistant / Reception | Practitioner |
|---|---|---|---|
| Today's Schedule | yours | yours | yours |
| Quick Actions | ✓ | ✓ | ✓ |
| Messages | ✓ | ✓ | ✓ |
| To Handle | ✓ | ✓ | ✓ |
| Today in Numbers | ✓ | — | — |
| Team Overview | ✓ | — | — |
| Incomplete Notes | Administrator | — | ✓ |
| Booking Requests | ✓ | ✓ | — |
| Waitlist | ✓ | ✓ | — |
| Pending Time-Off Requests | ✓ | ✓ | — |
Today's Schedule and the next-appointment card show your appointments only — even when you are the Owner or the Administrator. The whole team's schedule lives in the calendar, not on the dashboard.
In the mobile app the dashboard has a fixed layout — Now & Next, Today's Schedule, Action Queue, Waitlist, Quick Actions — and the widgets cannot be rearranged there.
