Active session — working during a visit

The screen you work on from the moment the patient walks in until they leave: the clinical note, range-of-motion measurements, the treatment plan, attachments and the summary that closes the visit.

Active Session is the screen you open when the patient walks into the room and close when they leave. Everything you record along the way — the note, the measurements, the plan activities you tick off — saves itself, so a browser tab closed by accident costs you nothing.

Do not confuse it with the patient record. The record is the archive: the whole history, documents, settlements. The active session is the workbench of one visit — with a timer and a summary at the end.

Open the calendar

How to do it

Start the visit from the calendar

Click the appointment in the calendar and choose Start Appointment. The screen opens only then — the visit has to be in progress. If you try to get in earlier, Heltio shows "This appointment is not currently in progress." and takes you back to the calendar.

Write the clinical note

The Clinical Note panel is the middle of the screen. You can start from a ready-made template — Select template — or write from scratch. Below the field you see Draft saved when the changes are already stored, and Unsaved changes when they are not yet.

Add range-of-motion measurements

In the Range of Motion panel click Add measurement and fill in: Joint, Movement, Degrees, Side. The Normal (°) field suggests the reference value, and Notes (optional) takes a comment. A saved measurement is confirmed with Measurement saved.

Tick off treatment plan activities

The Treatment Plan panel shows the current phase — Phase 2: Strengthening, with a Current label — and the list of activities. Ticking one off is confirmed with Activity marked complete. If the patient has no plan, you will see No active treatment plan.

Attach photos and documents

Attach file takes up to 10 attachments per session, each up to 20 MB.

Finish the session

The Complete Session button opens the Session Summary. You fill in as much as you need:

  • Diagnosis / Clinical Impression
  • Treatment Performed
  • Home Exercise Program — name, sets, repetitions, frequency, duration
  • Lifestyle Recommendations
  • Referrals — specialist type and reason
  • Follow-up Plan
  • Assign Materials to Patient — from the materials library
  • Create follow-up reminderRemind in 14 days

You confirm with Complete Appointment; Heltio acknowledges with Appointment completed.

When something goes wrong

Warning

This appointment is not currently in progress.

What this means: The appointment has a status other than “In progress” — it has not started yet, or it has already been completed.

What to do: Go back to the calendar and use **Start Appointment**. A completed visit is edited from the [visit card](/pomoc/funkcje/pacjenci/karta-wizyty), not here.
Error

This visit no longer exists or isn't part of this clinic.

What this means: The appointment has been deleted, or you have a link open to an appointment from another practice.

What to do: Check in the practice switcher that you are working in the right one.
Warning

You have unsaved changes. If you leave, your draft will be lost.

What this means: You are leaving the screen before the last sentence had time to save.

What to do: Choose **Stay**, wait for **Draft saved**, and only then leave.
Error

File exceeds the 20 MB limit

What this means: The attachment is larger than the permitted size.

What to do: Shrink the photo or split the document. The limit is 20 MB per file and 10 files per session.

Who has access

Practitioner Clinic Admin

The session is run by the practitioner assigned to the visit. A practice administrator has access to the whole team's visits. Reception can book and settle a visit, but does not open the clinical note.

The note panel shows Consent active or No consent — this is the state of the patient's consent to data processing. When consent is missing, document the visit but do not start features that require it.
