Clinic data lives in two places in Heltio, because it serves two different purposes.
Settings → General → Clinic Information holds the working data: Name, Email, Phone, Address, City and Timezone. Heltio builds document headers from those and counts calendar hours by them.
Clinic → Profile is the page for patients — the one described here. You will find it in the sidebar under the Clinic group.
How to do it
Upload the logo and the cover photo
The Logo is a square image, the Cover photo a horizontal one, 1920 × 720 px recommended. Both up to 5 MB, in JPEG, PNG or WebP.
Build the gallery
Add photo takes up to 8 photos; publishing needs at least 3. You can give each one a Caption, and reorder them with the Move up and Move down buttons. The gallery appears on the clinic page, not on the tile in search results — there the patient sees the logo. Order them so that the first photo says the most about the space.
Write about the clinic
The About the clinic section needs at least 80 characters in Polish. The counter under the field shows how many you have. There is an English field too — optional, but a patient searching in English will see that one.
Set the contact details, hours and amenities
Contact details are the Address, City, Phone and Email shown publicly. Below them, Get coordinates from address places the pin on the map; where the address is not recognised, enter the latitude and longitude by hand.
Opening hours are set separately for each day of the week with the Edit working hours button. Public holidays are a separate list — see public holidays.
Under Amenities you tick Parking on site and Wheelchair accessible. Both are filters in the finder, so only tick what you actually have.
Publish
The Publication checklist has six items: logo, at least 3 photos, a Polish description (min. 80 characters), opening hours, at least one active service and at least one practitioner with a photo, description and specialization. Above it sits a progress counter, and Jump to section takes you straight to the missing field.
Once the set is complete, the Publish clinic button becomes active. After publishing you will see Clinic publicly visible since … and an Open public profile link.
The layout of the screen explains why publication is waiting. 3 are the sections you fill in one after another — logo, gallery, description, contact, hours, amenities. 4 is the checklist on the right: six items and a Jump to section next to each unmet one. 1 is the Publish clinic button, inactive until the checklist is complete.
When something does not work
Fill in missing fields
What this means: The publish button stays inactive while the checklist is incomplete. The hint above the button lists what is missing.
Please add at least 3 photos before publishing.
What this means: The gallery has fewer than three photos.
File is too large. Maximum size is 5 MB.
What this means: The logo, the cover photo or a gallery photo is over 5 MB.
Only JPEG, PNG, and WebP images are supported.
What this means: The file is in a different format — most often HEIC from an Apple phone, or a PDF.
Could not find coordinates for this address. Please enter them manually.
What this means: The address lookup did not match a point on the map.
Who has access
Clinic AdminThe clinic profile is edited by the Owner and the Administrator only. Individual people's photos, descriptions and specializations come from their own profiles and only they can change them.

The list of people working in the clinic: who holds which role, how to change it, how to take access away from someone leaving, and what happens to their appointments and notes.
Public clinic profile
The clinic's shopfront for patients: logo, description, gallery, hours, map and team. The editor works and is worth filling in, but the public page itself is switched off for the beta.
Clinic details — name, contact, time zone
The Clinic Information card holds the name, address, phone, email and time zone. The tax details — NIP and bank account — live somewhere else, and this article says where.
Public holidays
Thirteen Polish public holidays are already in Heltio, and the practice is closed on each of them by default. This is where you decide which ones you nevertheless work through.
