The clinic team

The list of people working in the clinic: who holds which role, how to change it, how to take access away from someone leaving, and what happens to their appointments and notes.

The clinic team has two places in Heltio and it is worth not confusing them. Settings → General → Members is the access list: who can sign in to this clinic and with what role. Clinic → Team is the marketing page: what a patient will see about those people on the clinic's public profile.

This article describes the first of the two.

How to do it

See who has access

The Members card lists Name, Email, Role and a date in the Joined column. Your own row carries a (you) note. The row actions menu and the Invite Member button are seen by the Owner and the Administrator only.

Change someone's role

The three-dot menu on the row → Change Role. The dialog shows Current role and a New Role list with three entries: Administrator, Practitioner, Assistant. You confirm with Update Role; Heltio acknowledges with Role updated to ….

The change takes effect immediately, on every device that person uses.

Check the pay configuration

The same menu holds View pay config — that person's commissions and rates. It is a separate page, described in commissions and payroll.

Take access away from someone leaving

Actions menu → Remove from Clinic. The confirmation dialog says outright that the person will lose access immediately and that the action cannot be undone. Once confirmed, they disappear from the list and can no longer sign in to this clinic.

Before you click, go through that person's calendar. Future appointments do not transfer automatically to anybody else — they have to be reassigned or cancelled by hand.

Fill in what patients see

Clinic → Team is the second page. The Completeness and Visibility columns show whose profile is fit to publish. Edit clinic context sets what concerns this clinic only: Services and prices, Default room and the note shown under the biography on the public page.

The photo, description and specializations come from that person's personal profile and only they can change them — Heltio says so outright: These details are managed by the practitioner. Here you only manage settings specific to this clinic.

When something does not work

Warning

Team member management is available to clinic owners and administrators only.

What this means: This message is shown by the mobile app when the role in the active clinic is Practitioner or Assistant / Reception. In the browser there is no message — there simply is no actions menu and no Invite Member button.

What to do: Ask an owner or administrator. Check the **Active clinic** switcher too — you may hold a higher role in another clinic.
Warning

Cannot remove the last owner of the clinic.

What this means: A clinic must always have at least one person with the Owner role.

What to do: That row stays. If the clinic is to change hands, write to Heltio support — the **Owner** role cannot be granted to anyone from inside the app.
Warning

You cannot remove yourself.

What this means: The remove action is hidden on your own row, but the server refuses as well when the request arrives by another route.

What to do: Ask a second administrator or the owner to remove your access.
Warning

Cannot demote the last owner.

What this means: You are changing the role of the only person holding the Owner role.

What to do: Leave their current role in place. Details in [roles and permissions](/pomoc/funkcje/admin/role-i-uprawnienia).

Who has access

Clinic Admin

The member list can be read by the Owner, the Administrator, a Practitioner and an Assistant / Reception. Inviting, changing roles and removing are for the Owner and the Administrator only.

Every invitation, every role change and every removal reaches the audit log with the name of the person who did it.
