Heltio's configuration lives in two places. Settings is a single page of cards — that is where we keep the things you set once and rarely touch again. Anything larger has its own entry in the sidebar, in the Settings group.
There is no separate settings navigation tree, no field-level search and no first-run configuration wizard. This article is that search: it tells you where things sit.
How to do it
Start with the Clinic Information card
The first card on the Settings page. The clinic's name, email, phone, address, city and time zone. This is the only place where you can change the name that appears throughout the app. Details: Clinic details.
Go through the remaining cards on the same page
The order is fixed, but some cards only appear for the right role:
- Booking Rules — whether a patient may reschedule and cancel on their own, how far in advance, and what happens on a no-show. Set separately for each practitioner.
- Kiosk Mode — a token for the tablet in the waiting room. The address is shown once, right after it is generated; after that you cannot read it back, only generate a new one.
- Public Booking Link — the address of the public booking page, a QR code to print, and on a second tab the snippet for embedding the form on your own site together with the list of allowed domains (10 at most).
- PIN Lock — a four- to six-digit code that locks the screen on a shared computer.
- Clinical Settings — the default note type plus shortcuts to Note Templates, outcome measures, Services and Room Management.
- Members — the list of people, invitations, role changes, removal from the clinic.
- Account — shows who you are signed in as, and signs you out.
Find the rest in the sidebar
The Settings group in the sidebar is divided into sections:
| Section | What is in it |
|---|---|
| General | General (the Settings page), Outcomes Library, Catalog Favorites |
| My Preferences | Notification Preferences, AI Usage |
| Billing & Fiscal Setup | Payment Providers, Package Templates, Memberships & vouchers, Insurers, Bank Payouts, KSeF Configuration, P1 integration (e-Health), Subscription & Billing |
| Communication | Messaging, Message Templates |
| AI & Integrations | AI Features, Integrations |
| Compliance | GDPR & Privacy, Audit Log |
| Support | Bug Reports |
Two further menu groups are configuration too, even though they are not called "Settings":
- Clinic — Profile (logo, photos, description, opening hours), Team, Services, Rooms.
- My Account — My Profile, Edit Profile, Credentials, Privacy.
The diagram puts both layers side by side. Under 1 are the sections of the sidebar Settings group — each opens its own screen; the full list is in the table above, six of them fit on the diagram. Under 2 is the content of the one section you have just picked; on the General page those are the cards listed in step 2, stacked one under another.
When something does not work
Select a clinic to view settings.
What this means: The account has no active clinic selected — most often right after signing in, or after being removed from the clinic you last worked in.
Failed to load settings. Please try again.
What this means: The request for clinic data did not arrive — a dropped connection or a momentary outage.
Not available in demo mode
What this means: The demo clinic is read-only — saving clinic data is disabled in it.
Who has access
Clinic Admin Practitioner ReceptionistAnyone on the team can open the Settings page, but the fields are only active for the clinic owner and administrator. A practitioner and reception see the data and cannot save it.
Three cards have their own rule: Booking Rules and PIN Lock appear to whoever runs appointments (practitioner, administrator, owner), while Kiosk Mode and Clinical Settings appear to the owner and administrator only.

Related features
Clinic details — name, contact, time zone
The Clinic Information card holds the name, address, phone, email and time zone. The tax details — NIP and bank account — live somewhere else, and this article says where.
Clinic logo and identity
One logo carries everything a patient receives from Heltio — the public page, emails and PDF documents. This article says where to upload it and why the file format matters.
My profile — practitioner details and visibility
Photo, description, specializations, education and a professional licence number. Plus the switches that decide where the profile shows up at all.
Choosing the active clinic
One account can belong to several clinics. The switcher at the top of the sidebar decides whose patients, appointments and invoices you are currently looking at.
Interface language and theme
Four interface languages, switched with the globe icon in the top bar. The choice lives in the browser, not on the account — and that has consequences worth knowing in advance.
