The portal has four separate places to do with money: Wallet (a balance in złoty), My Passes (purchased visit packages), Memberships (a recurring subscription) and Vouchers. The last two appear only in clinics that sell them.
All four are a record of what you set up on the clinic side. The patient changes neither the balances nor the visit counts in them.
How to do it
Wallet
The My Wallet screen shows the balance in złoty and the Transaction history. Every entry has a reason: Top-up, Visit payment, Package purchase, Refund, Adjustment or Expiration, an amount, and the balance after the operation.
Topping up is only possible when the clinic takes online payments — the Add funds to your wallet panel simply does not appear in a clinic that does not. Returning from payment, the patient sees … PLN added to your wallet.
When booking with payment, the patient can use the balance: Apply wallet credit, with the hint showing how much is available.
Purchased visit packages
The My Packages screen has an Active passes section. Each entry shows the package name, the state (Active, Pending payment, Expired, Depleted, Cancelled), a progress bar with a Visits used: … / … counter, the number of visits left, and the expiry date. An expiry closer than thirty days is highlighted.
When the clinic puts packages up for online sale, a Buy a new pass section sits below with a Buy button on each. A clinic without online payments shows instead: This clinic does not take online payments. You can buy a pass at the front desk.
Recurring memberships
The Memberships entry appears only in clinics with membership sales switched on. The patient sees Available plans with a Subscribe button, and My memberships with the Current period, the Next payment date, and the actions Pay now, Pause, Resume, Cancel at period end. Cancelling does not end the membership immediately — It stays active until the end of the current period, then ends automatically.
Vouchers
The Vouchers entry likewise depends on a clinic setting. The patient redeems a code they were given (Redeem a code) or buys a new one, including as a gift. A redeemed voucher either goes into the wallet or adds a package — depending on how it was issued.
When something doesn't work
Failed to load wallet.
What this means: The balance did not come back — usually a momentary loss of connection.
Failed to load licenses.
What this means: The list of purchased packages did not come back.
Failed to sell package.
What this means: A package purchase from the portal did not go through. The message is phrased from the clinic's side even though the patient is the one seeing it.
Insufficient wallet balance
What this means: The balance does not cover the amount the patient wants to pay with it.
Could not load memberships
What this means: The membership list did not come back, or membership sales were just switched off in the clinic.
Who has access
Clinic Admin ReceptionistA patient sees only their own wallet and their own packages in the selected clinic. The same person treated at two clinics has two wallets — funds do not move between them.
On the clinic side, manual top-ups, balance adjustments and refunds need a separate wallet permission; simply viewing the balance is open to a wider group. Every change to a balance leaves an entry in the audit log.

Online booking from the portal
How a patient books a visit from the Patient Portal — a four-step wizard, instant booking versus a request, online payment, the waitlist, and rescheduling or cancelling.
Patient wallet
A cash balance kept for every patient: top-ups, paying for visits and invoices from it, balance adjustments and a full transaction history. The patient sees the same wallet in the portal.
Prepaid packages
Multi-visit passes: you define them once in settings, sell them to a patient, and Heltio deducts credits as visits are settled. Validity, service coverage and the practitioner list are part of the pass definition.
Memberships
Recurring monthly plans: a paid period grants the patient package credits or a wallet top-up. We never charge a card automatically — the patient pays each period with a fresh link, or a QR code at reception.
Gift vouchers
Vouchers for an amount or for a package of visits — sold at reception with a code and a gift-card PDF, or online with the code emailed once the payment is booked. The code is shown once; after that it cannot be recovered.
