The Patient Portal is the part of Heltio the patient signs in to — separate from the clinic dashboard, on the same account. There they book appointments, fill in forms, work through their exercise program, write to their practitioner and download their data.
Patients do not create an account themselves. Access is granted by the clinic from the patient card.
How to do it
Invite the patient to the portal
Open the patient card and click Invite to Portal. The button appears only while the patient has no account — once one exists, it disappears.
Show the patient where things are
The top menu has four entries: Today, Appointments, Exercises, Messages. The rest lives under the avatar, in a drop-down menu:
- Plan — the weekly view of the treatment plan; it appears only when that feature is enabled in Heltio (the switch covers the whole deployment, not one clinic).
- Forms — questionnaires to complete before a visit.
- Invoices — documents issued to the patient.
- Wallet — balance and transaction history.
- My Passes — purchased visit packages.
- Memberships and Vouchers — only in clinics that sell them.
- Privacy & Consent — consents, GDPR requests and downloading their own data.
Under 1 is the top bar with the avatar — everything listed above unfolds from there. Under 2 is the content of the selected entry. Under 4 are the four permanent entries the patient always has to hand.
Explain the Today screen
The start screen greets the patient by name and gives a one-sentence summary — Today: 3 exercises and an appointment at 2:00 PM, for instance. Below are tiles: today's plan, the next appointment with a Check In button, the latest message and a Your progress chart (pain level over the last four weeks).
Point out the clinic switcher
A patient treated at two clinics has a Switch Clinic entry in the menu. The data is not shared: those are two separate patient cards, two appointment histories and two wallets. After switching, the portal shows only the selected clinic's data.
When something doesn't work
No portal access
What this means: The account the patient signed in with is not linked to any patient card — most often because they signed in with a different email address from the one the invitation went to.
No patient record linked to your account.
What this means: The account exists and has access to the clinic, but the selected clinic has no card for that person.
Something went wrong loading your data.
What this means: The start screen did not fetch its data — usually a momentary loss of connection.
Who has access
Clinic Admin PractitionerThe portal invitation is sent by someone with the right to edit patient data — the owner, the admin, a practitioner, a coordinator, a senior physiotherapist and a trainee. Reception cannot do it: the assistant role can view the card but not change it, and a portal invitation is a change to the card.
In the portal the patient sees only their own data in the selected clinic. Clinical notes appear only when the practitioner has explicitly marked them visible.
