Gift vouchers

Vouchers for an amount or for a package of visits — sold at reception with a code and a gift-card PDF, or online with the code emailed once the payment is booked. The code is shown once; after that it cannot be recovered.

A voucher is a gift certificate in two flavours: Amount — it tops up the recipient's wallet — or Package — it grants a visit pass. The buyer and the recipient can be two different people; a voucher does not have to be tied to a patient up front.

The voucher code is stored only as an irreversible hash. The app shows it exactly once, on a cash sale, and there is no "show again" button. The gift-card PDF is downloaded at that same moment too.

The module is off by default.

How to do it

Switch the module on and set the validity

Settings → Memberships & vouchers, the Vouchers section. Next to the toggle you set the Voucher validity (months) — from 1 to 36, counted from the purchase. Once on, a Vouchers entry appears in the Billing menu.

Sell a voucher at reception

Sell a voucher opens a dialog with a Voucher type choice:

  • Amount — you give an Amount (PLN); the sale price equals the voucher's value.
  • Package — you pick a package from the catalog.

You fill in the Purchaser name and their Purchaser email, and for a gift also the recipient's details and a Personal message that goes onto the card.

In the Payment field you choose Paid at desk — the voucher becomes active straight away.

Hand over the code — this is the only moment

After a cash sale a Voucher sold dialog appears with the Voucher code, a Copy code button and Download gift card (PDF).

Sell a voucher online

Choosing Payment link instead of paying at the desk creates a link and a QR code. The voucher code does not appear on screen — the dialog says: "The voucher code is emailed to the buyer once the payment is captured." Until then the voucher carries the Awaiting payment status.

A patient can also buy a voucher themselves, from the portal, under Vouchers → Buy a voucher.

Redeem a voucher

Redeem a voucher — from the voucher list, or from the Vouchers section on the patient record. You type the Voucher code and pick the patient to credit. Heltio acknowledges with Voucher redeemed — wallet credited or Voucher redeemed — package granted.

A patient can also redeem a code themselves, in the portal.

When something does not work

Error

This voucher code is not valid.

What this means: The code is in the wrong format, or matches no voucher issued by this clinic.

What to do: Check the code character by character — it comes as four groups of four. A voucher from another clinic will not work here.
Warning

This voucher has already been redeemed.

What this means: The code was used earlier — the value is already in some patient's wallet or package.

What to do: Open the voucher details on the list: the **Redeemed** column gives the date, and the row shows who the value was credited to.
Warning

This voucher has expired.

What this means: The validity period counted from the purchase, set in the Voucher validity field, has passed.

What to do: Whether to honour an expired voucher is the clinic's decision. You can top the [wallet](/pomoc/funkcje/finanse/portfel-pacjenta) up manually for the same amount.
Warning

This voucher can no longer be voided.

What this means: The voucher has already been redeemed, or voided earlier.

What to do: Only an unredeemed voucher can be voided. A redeemed value is taken back with a wallet balance adjustment.
Warning

Select a package for a package voucher.

What this means: The Package type was chosen without saying which package is meant.

What to do: Fill in the **Package** field. If the list is empty, create an active package first under **Settings → Packages & Passes**.

Selling, redeeming and voiding a voucher are done by the administrator, reception and practitioners. The Billing → Vouchers summary — with the Outstanding liability total, the value of vouchers sold but not redeemed — is seen only by the owner and the administrator. Switching the module on and setting the validity is the administrator's job.
