In Settings → General → Members there is an Invite Member button. The side panel asks for an Email address, a Role and a Specialization (optional), and once sent it confirms: Invitation sent. The invitee must accept it before joining the clinic.
That sentence about accepting is currently untrue, which is why this page is marked as planned. We explain it below instead of describing a route that does not lead anywhere.
What actually happens
After you click Send Invite, Heltio creates an inactive membership in the clinic for the account with that address. Inactive means: no access to any data, and no such person on the Members list. That is by design — the invitee's consent is a condition, not a formality.
The second half is missing. There is no screen in Heltio today — neither in the browser nor in the mobile app — where an invited person sees a pending invitation and accepts it. The server offers that possibility; the interface does not surface it.
Two more things are worth knowing in advance:
- Heltio sends no email for this invitation. Even if the acceptance screen existed, the invited person would have to hear about the invitation from you.
- An address with no Heltio account receives nothing. The form shows the same success message in that case — deliberately, so as not to reveal who has an account and who does not. Inviting somebody who has not created an account yet will not work.
How to add somebody to the team right now
Ask them to create an account
The new person creates a Heltio account on their own email address — the same one you will enter in the invitation.
Write to Heltio support
Give the clinic name, the new person's email address and the role they should get (Administrator, Practitioner or Assistant). Until the acceptance screen is finished, this is the only route that ends in working access.
Check the list and set the rest up
Once the person appears under Members, finish the configuration: the role is changed from the row menu, working hours in Schedule, and what a patient sees about them on the public page in Clinic → Team. Described in the clinic team.
When something does not work
Invitation sent. The invitee must accept it before joining the clinic.
What this means: This confirmation always appears — including when the address given has no Heltio account and no invitation was created at all.
This person is already a member of the clinic.
What this means: The account on that address already has active access to this clinic.
Please enter a valid email address
What this means: The address failed the form validation — usually a typo or a stray space.
Who has access
Clinic AdminThe Invite Member button is seen by the Owner and the Administrator only. The Owner role cannot be granted from inside the app — it is created when the clinic is set up.
