Cash desk — closing the shift

The Payments screen under Billing: how much has come in since morning, who still has to be charged, who is in arrears and how much cash is left in the drawer at the end of the shift.

The screen is called Payments and sits in the side menu under Billing. On the reception dashboard the Cash desk link leads to it — and that is its real role: the cash desk of one day, one shift. The view covers today only, in the practice's time zone.

Under the header stand the date and the shift with your name, so the printout shows who counted.

How to do it

Read the four numbers

The top row answers four questions at a glance:

  • Collected today — the total taken and the time of the last payment.
  • To collect today — how much is still to be taken from today's visits.
  • Arrears — the overdue amount, the number of people and the age of the oldest debt.
  • Methods today — a bar broken down into Cash, Card, BLIK, Card terminal, Transfer, Przelewy24 and the rest.

The four numbers at the top are the whole statistic of a shift; everything below only serves to close it.

Under 1 is the header with the date, the name of the person on shift and the Accept payment button. Under 2 — the four cards described above: Collected today, To collect today, Arrears and Methods today. Under 4 — the panels you actually work in: Payments today, To collect now and Arrears.

Check the payment log

The Payments today panel, marked live, lists every payment in the columns Time, Patient, Service, Method, Amount. The Day report link takes you to the financial reports. When nobody has paid yet, it shows No payments yet today.

Collect from the people in the waiting room

The To collect now card, captioned from the waiting room, gathers those who are already waiting and have not paid. Every row has two buttons — Card / BLIK and Cash — which open a payment dialog with the amount and method already filled in. A visit covered by a package shows a from package badge instead of an amount, and no buttons.

Record a payment by hand

The Accept payment button in the header opens the Record payment dialog — for money taken outside online payments. You fill in the Amount (PLN) and the Payment method (Cash, Bank transfer, Card terminal), optionally a Note. The save is confirmed with Payment recorded.

Deal with the arrears

The Arrears panel lists unpaid invoices with the due date, the number of days overdue and an in clinic today note if that person has an appointment today. A Collect at visit button then appears — it opens a payment dialog with the amount filled in. When there is no appointment today, what is left is Send SMS reminder: a Send payment request dialog with a choice of channel, Email and SMS, a Custom message (optional) field and a MESSAGE PREVIEW. The send is acknowledged with Payment link sent.

Close the shift

At the bottom of the right-hand column is the Cash report for shift close with a cash on hand summary and a Generate button that leads to the cash-flow report. That is the number you compare with the contents of the drawer before you leave.

When something goes wrong

Required

What this means: The **Amount (PLN)** field in the **Record payment** dialog was left empty. The validation message is not translated yet.

What to do: Type an amount. **Must be positive** will appear next to it if you enter zero or a negative number — then correct it to a positive value.
Warning

No email address on file.

What this means: The record has no email address, so the email channel in the payment request dialog is disabled.

What to do: Add the address on the patient record, or send by SMS alone.
Warning

No phone number on file.

What this means: The record has no phone number, so the SMS channel is disabled.

What to do: Add the number on the patient record, or send by email alone. With both missing, the request cannot be sent at all.
Warning

Amount exceeds the remaining balance due.

What this means: More was typed into the **Visit settlement** panel than is left to pay.

What to do: Reduce the amount to the **Amount due**. This panel does not accept overpayments.
Info

This visit is already settled.

What this means: Somebody took the money earlier — from a second desk or from the practitioner's screen.

What to do: Refresh the page. The visit will disappear from the **To settle** card.

Empty panels — Nobody is waiting to pay and No arrears — are good news, not a fault.

Who has access

Clinic Admin Receptionist Practitioner

Any of these roles can view the cash desk and take payments. Refunds and changes to the payment settings are reserved for the practice owner and administrator.

The All practitioners filter is a drop-down for the owner and the administrator only — the other roles see it as a label and work across the whole practice. The date range is always today: the Today next to the filter is a caption, not a drop-down. For data from other days go to the financial reports.
