AI credits: balance, costs and history

Every AI feature draws on one clinic balance. Here is what each call costs, when credits come back, and where to see the history.

A clinic has a single AI credits balance. Every AI feature spends from it — from suggested history questions to a note drafted from a recording. The balance is shared by the whole team, so a credit spent by one person in the morning is no longer there for someone else in the afternoon.

Balance, costs and history live in Settings → AI Features, in the AI Credits card.

The cost sits on the button before you click it — Costs 5 credits. When the balance is too low the button is inactive and shows "Not enough AI credits. Ask your admin to top up."

How to do it

01

Check the balance

The AI Credits card shows the clinic's current balance. The same counter appears in the app header as a chip with a number and the abbreviation cr.

02

Go through the credit history

The Credit history section lists every change to the balance: Date, Type, Change, Balance, Reason, Feature. The types are Grant, Purchase, Used, Refund, Adjustment and Expired. You can filter by type, feature and date range; Reset filters brings back the whole list.

03

See what the credits went on

The history tells you how much; the AI Activity page tells you who and what for. The AI Usage tile leads there — it holds the practitioner, the patient, the time and the outcome of every call.

When credits come back

A refund happens when the technology failed, not when you disliked the draft:

  • the AI provider did not answer — the message ends with "No credits were charged.";
  • the response was rejected by the safety filter — also without a charge;
  • not enough context to generate anything — the call never completes.

Rejecting a finished draft with Discard does not refund credits — the model already did the work. Regenerating costs the same as the first time.

When something doesn't work

Warning

Low on AI credits. Buy more to keep AI features running.

What this means: The clinic balance fell below 10 credits. Only the owner and the clinic admin see this banner.

What to do: Dismissing the banner lasts for the browser session — it comes back on the next visit while the balance stays low.
Warning

Not enough credits to run this AI feature.

What this means: The balance is smaller than the cost of this particular action.

What to do: Expensive features drop out before cheap ones — at a balance of 6 credits the summary draft (5) still runs, the treatment plan (8) does not.
Warning

Not enough AI credits. Go to Settings to top up.

What this means: The same situation seen from inside an appointment.

What to do: Click Settings in the message to jump straight to the balance.
Warning

AI features are disabled for this clinic.

What this means: The balance is beside the point until AI has been enabled.

What to do: Start with the [AI overview](/pomoc/funkcje/ai/przeglad-ai-w-heltio) — it covers who enables AI and in what order.
Error

Failed to load credit history.

What this means: The list did not come back from the server.

What to do: Click **Try again**. The balance in the card itself loads separately and usually keeps working.

Who has access

Clinic Admin

Every team member sees the balance — you need it to know whether an AI button will work. Credit history and AI Activity open for the owner and the clinic admin only, because both hold data about the whole team's work.
