A program template is the same thing as any other program — weeks, days, exercises, prescriptions — only with no patient assigned. Assigning a template creates a new, independent program: a later change to the template does not touch programs already built from it, and a change to a patient's program does not travel back to the template.
Templates belong to the clinic. Heltio ships no ready-made template library — you have to build the first few yourself, usually out of programs someone has already been given.
How to do it
Create a template
On the Program Templates screen click New Template. The editor is the same as for a normal program, with one difference: the Patient field disappears, because a template is assigned to nobody.
A faster route starts from a finished program: on the Programs list switch to the Templates tab and use Create Template.
Assign a template to a patient — quickly
On the template tile choose Assign to patient, then Quick Create. You pick the patient and optionally change the Program title (optional); leaving it blank uses the template title. Heltio copies the whole structure and confirms with Program created from template.
The new program is created as a Draft. Look inside it before you Activate — patients see programs in that state in the portal too.
Or customise it exercise by exercise
The other route on the same button is Customize for Patient. It opens the Customize Program wizard in three steps:
- Basics — patient, title, Frequency, Difficulty Level.
- Customize Exercises — every exercise gets an Include this exercise checkbox plus its own Sets, Reps, Weight, Duration, Rest, Tempo and Patient Notes.
- Review & Create — a last look before saving.
The bar at the top of the wizard shows three steps and the one you are on. 3 is the fields of the Basics step — patient, title, frequency and difficulty; 4 leads to the Customize Exercises step, where you untick what the patient is not meant to do.
Share the template with the team
A new template is visible only to the person who created it. The tile menu holds Share with clinic — after using it the template appears for every practitioner in the clinic and picks up a Shared marker. Unshare returns it to private.
The three tabs above the list filter on exactly that: All, My Templates, Shared.
When something doesn't work
No templates yet. Create your first template to speed up program creation.
What this means: The clinic has no templates at all — neither its own nor shared ones.
No templates available
What this means: The **Start from Template** field in the program editor has nothing to offer.
The selected template could not be loaded. You can continue creating a program without a template.
What this means: The template disappeared between opening the list and picking it — usually because someone in the clinic just deleted it.
Replace form data?
What this means: You are loading a template into a form that already has something in it.
Failed to load templates. Please try again.
What this means: The list did not arrive — usually a dropped connection.
Who has access
Clinic Admin PractitionerA template can be created, edited and shared by a practitioner and the clinic admin. Sharing and unsharing is done by the template's author or an admin — not by everyone who can see it.
A practitioner assigns a program only with themselves as the one in charge. Assigning a program on behalf of someone else on the team is reserved for the clinic admin.
