Materials is the clinic's library of educational content: PDF leaflets, instructional videos, positioning photos and links to external pages. You add an item once and then attach it in several places — there is no need to upload the same file into every program separately.
A material attaches in three places: under an exercise in a program and under a whole program, under a treatment-plan phase (see phase resources), and in the visit summary, through the Assign materials field.
How to do it
Upload a material
Click Upload Material. Pick the Type: Document, Video, Image or Link. For the first three you pick a file with Choose File; for the last you paste an address into the URL field.
Fill in the Title (the only mandatory field), then Category, Description and comma-separated Tags. On save Heltio confirms with Material uploaded successfully.
Find a material in the list
Above the list sits the Search materials... field and the type buttons: All, Document, Video, Image, Link. Search works on the title. Load more pulls in the next page.
Decide whether the patient should see it
Clicking an item opens a panel with Preview, Tags, the Created date and the Download, Edit and Delete buttons.
The Public checkbox decides whether the material is available to the patient in the portal. A newly uploaded material is not public — until you tick it, the item lives on the clinic side only, even when you attach it to an exercise.
Attach the material where it should do its work
In the program editor, an exercise card has an Add video button — with three tabs: Materials Library, URL and Upload — plus Add Material for files and photos. The limits are 5 attachments per exercise, of which one video, and 10 attachments per program.
In a treatment-plan phase, a material additionally gets a Role (Required, Supplementary, Pre-phase, Post-phase) and an optional Due by day.
When something doesn't work
File too large. Maximum size is 10.0 MB.
What this means: The selected file is over the library limit.
Enter a valid URL.
What this means: The **URL** field on the **Link** type does not hold a valid address.
Failed to upload material.
What this means: The file never reached storage — usually a connection dropped mid-upload.
Failed to load materials. Please try again.
What this means: The list did not arrive.
Failed to delete material.
What this means: The deletion did not go through on the Heltio side.
Who has access
Clinic Admin PractitionerEveryone with access to clinic materials can see the library; uploading, editing and deleting belong to practitioners and the clinic admin. The library is shared across the clinic — there are no materials private to one person.
Downloading a file is recorded in the audit log.
