Every SMS Heltio sends draws segments from the clinic's SMS wallet. The wallet has two sources: the Included this month allowance, which renews with each billing period, and Packages — one-off top-ups you buy yourself.
Heltio spends the subscription allowance first. When the balance hits zero, SMS reminders stop going out.
How to do it
Check the balance
The card at the top of the page shows three numbers: Included this month, Packages and Total balance, with Resets in … underneath — when the subscription allowance comes back. On a freshly paid subscription you see Subscription not yet active., and just after a purchase Payment received — your balance will update shortly.
Under 1 is Buy more SMS. Under 2 are those three numbers. Under 3 is the status filter — it belongs to Recent messages at the bottom of the page, not to the balance at the top.
Buy a package
Click Buy more SMS. The storefront shows five packages — SMS 100, SMS 500, SMS 2 000, SMS 5 000 and SMS 15 000 — each with a Net price, VAT, Gross, validity (Valid for … days or No expiry) and an effective price per SMS. The bigger the package, the lower the unit price.
After Buy you see the Order summary and a Pay with Przelewy24 → button. The SMS are credited to the wallet the moment payment is confirmed — acknowledged with SMS package purchased! Your wallet has been credited.
Switch on auto top-up
The Auto top-up card buys a new package when the balance drops below a threshold. Set Trigger when balance drops below, choose the Package to purchase and click Save settings.
Auto top-up does not take money on its own: when the threshold is crossed you get an email with a one-click Przelewy24 link. Stored payment methods are not supported yet, so without clicking that link the balance does not go up.
See what the SMS went on
Transactions shows every change to the balance: Date, Type (Credit, Debit, Adjustment, Refund, Expired), Bucket (Included or Package), Amount, Balance after and Reason — Package purchase, Message sent or Package expired, for instance.
Below, Recent messages lists individual sends with their status. The Filter status control narrows the list to Sent, Delivered, Failed, Opt-out blocked or Wallet exhausted.
When the balance runs out
Heltio warns you twice. First an SMS balance is low banner appears with the number of messages left and a Buy more SMS button; you can hide it with Dismiss for now. When the balance reaches zero, the banner changes to SMS wallet exhausted.
Heltio will not remind you about a low balance by email or SMS — the banners on this page and above the notifications table are the only warning. In a busy clinic it is worth turning auto top-up on, or looking in here once a week.
When something doesn't work
Payment failed — please try again.
What this means: Przelewy24 declined the transaction, or it was interrupted halfway.
Purchase cancelled — no SMS were charged.
What this means: The Przelewy24 window was closed before payment completed.
Choose a package to enable auto-top-up.
What this means: The toggle was switched on without a package and a threshold.
Could not load transactions.
What this means: The list did not reach the browser.
No packages available
What this means: The package catalogue did not load, or none is available on your plan.
Who has access
Clinic AdminBuying a package and configuring auto top-up are financial operations — handled by the clinic owner and admin only. Invoices for packages land under Invoices alongside the subscription invoice.
