Kiosk mode — patients check themselves in

A tablet in the waiting room where the patient types the last five digits of their PESEL number and checks in. Reception sees them in the waiting room straight away.

Kiosk Mode is the check-in screen that stands in the waiting room. The patient types the last five digits of their PESEL number, Heltio finds today's appointment for them and checks them in without reception being involved. A checked-in person appears immediately in the Waiting room on the reception dashboard.

The kiosk works without a login. It is authenticated by a token embedded in the address, so the tablet has access to nothing beyond checking people in for today.

How to do it

Generate the kiosk token

In Settings find the Kiosk Mode card and click Generate Kiosk Token. Heltio shows the Kiosk URL together with the warning Copy this token now — it will not be shown again.

Set up the tablet

Open the copied address in the tablet's browser and switch to full-screen mode. The Kiosk Mode card also has a QR Code — print it and put it next to the tablet, so that moving the device does not mean retyping the address.

Once the kiosk is running, the card shows Kiosk is active. From then on the choices are Regenerate and Revoke Token.

This is what the patient sees

The screen greets them with Hello! and asks for the last five digits of the PESEL number. Under the keypad stands the reassurance We only check the last digits of your number — your data stays safe, a hint about where to find that number, and an escape route: Prefer in person? Come to reception — we're happy to help.

Once matched, All done, …! appears together with the appointment time and the estimated wait. The screen resets itself — after a minute of inactivity or after the countdown on the confirmation screen. The next patient finds a clean kiosk.

Run the waiting room

A checked-in person lands in the Waiting room section of the reception dashboard with the state Waiting and a waiting … min counter. The Call in button changes the state to Called in.

Someone who did not use the kiosk is checked in by reception by hand with the Check In button — the check-in method is recorded as Self (Kiosk) or Manual (Staff).

When something goes wrong

Error

Invalid kiosk link

What this means: The address was opened without a token, or with a revoked one.

What to do: Generate a new address on the **Kiosk Mode** card and enter it on the tablet. The address on its own, without the token, will never work.
Warning

We couldn't find your appointment — please come to reception, we're happy to help.

What this means: Exactly one of today's appointments does not match those five digits: there is no appointment, no PESEL number in the patient record, or two people share the same ending.

What to do: Check the patient in by hand from the **Waiting room** and fill in the PESEL number on their record so the kiosk works next time.

Patient has already checked in.

What this means: The patient checked in earlier — themselves or through reception.

What to do: Do nothing. Touching the screen again does not create a second check-in.
Error

Something went wrong. Please try again or come to reception.

What this means: The tablet lost its connection, or the request failed.

What to do: Check the network on the tablet. The kiosk needs a constant connection — it does not work offline.

Who has access

Clinic Admin Receptionist

Only an administrator or the practice owner generates and revokes the token. Reception runs the Waiting room: checking people in, calling them through and marking no-shows.

The kiosk itself shows neither the surname nor the PESEL number — the confirmation screen knows only the first name, the time and the person seeing them. Every check-in leaves an entry in the audit log. Position the tablet so that its screen is not visible to the whole waiting room — see GDPR in Heltio.
