PIN Lock

A four-digit code that covers the screen on a shared computer — by hand with a keyboard shortcut, or on its own after a set period of inactivity.

Reception is a computer with a patient standing next to it. PIN Lock covers the whole screen with an overlay you leave with a short code — no password, no signing out. The session carries on, open forms stay where they were.

The PIN is personal: you set your own, for your own account in this clinic. How much inactivity is enough to lock the screen is decided by the clinic owner or administrator — one value for everybody.

How to do it

Set your PIN

In Settings, find the PIN Lock card. While no code exists, the card shows PIN is not set up. Type the code in the New PIN field, repeat it in Confirm PIN and click Set up PIN. Heltio confirms with PIN has been set, and the card heading changes to PIN is enabled.

The card appears to the roles that work with records: Owner, Administrator, Practitioner.

Lock the screen when you walk away

Ctrl+L (Windows and Linux) or Cmd+L (Mac) covers the screen at once. A hint about it stands under the button on the card.

Set the automatic lock

The Auto-lock timeout field accepts 1, 2, 5, 10, 15, 30 or 60 minutes, or Off (never). The counter resets on every mouse movement, key press, screen touch and page scroll.

This setting is shared by the clinic and only the Owner or the Administrator can change it. Everybody else sees the value and the sentence Set by your clinic admin.

Unlock

The overlay shows Enter PIN. Once you type the correct code you come back exactly where you were before the lock.

Remove the PIN once you no longer need it

Remove PIN on the card, confirm, and that is that — Heltio acknowledges with PIN has been removed. The screen stops locking, automatically as well.

When something does not work

Warning

PINs do not match

What this means: The New PIN and Confirm PIN fields differ.

What to do: Type the code again in both fields. The button only unlocks once there are four digits in each field.
Warning

Incorrect PIN

What this means: The code entered does not match the stored one.

What to do: Try again. The number of attempts left is shown under the field.
Error

Too many attempts. Try again in 4 min 12 sec.

What this means: Several wrong codes in a row blocked entry for a while. The counter on screen ticks down.

What to do: Wait for it to reach zero. If you cannot remember the code, choose **Sign out instead** on the overlay and sign in again with your password — then set a new PIN in **Settings**.

What is not here

The name of this page also promises fast account switching. Heltio has no switching between accounts or between roles without signing out today. One person holds exactly one role in one clinic, and to work as somebody else they have to sign out and sign in on the other account.

What is available is the Active clinic switcher at the top of the sidebar: one account belonging to several clinics moves between them without signing out, and the role in each of them can be different. That is described in working across several clinics.

Who has access

Practitioner Clinic Admin

Everyone sets, changes and removes their own PIN for themselves. The auto-lock timeout is shared by the clinic and changed by the Owner or the Administrator.
