My Profile is the one place in the portal where a patient changes their own data. The same content is editable from the patient card on the clinic side and shows up in the clinical summary — it is one set of data, not two.
Do not confuse My Profile with Health Records. The profile is what the patient states about themselves. The records are the visit summaries, notes, programs, questionnaires, range of motion, pain maps and files the clinic shares — the patient does not edit those.
How to do it
Show the patient what they can change
The My Profile tab has four sections of editable fields:
- Contact Information — Email and Phone. First and last name are read-only, with the note Name changes must be made by your clinic.
- Medical Profile — Allergies, Medications, Chronic Conditions. Each field takes up to 5000 characters.
- Physical Measurements — Height (cm) and Weight (kg).
- Emergency Contact — Name, Phone, Relation (placeholder: e.g. Spouse, Parent).
Changes are saved with the Save Changes button; Heltio confirms with Profile updated.
Under 1 is a field-group heading — there are four of those, one under another. Under 3 is a single field the patient fills in. Under 4 is one save button for the whole page: groups are not saved separately.
Read the profile on your side
Allergies, medication and chronic conditions, once filled in, land in the clinical summary on the patient card. You edit the same set of fields from there — with the difference that you can change the name and the patient cannot.
Point the patient at where they can download their data
Under the profile sections is an Open the privacy centre link. There the patient downloads a copy of all the data the clinic holds about them (Download My Data, GDPR Art. 15) and files requests under their other rights. That is covered on the data subject rights page.
When something doesn't work
No patient profile found. Please contact your clinic.
What this means: The patient account is signed in, but the selected clinic has no card for them.
Failed to load your profile.
What this means: The profile data did not come back — usually a momentary loss of connection.
Please enter a valid email address
What this means: The address in the **Email** field is not well formed.
Phone number must be at most 20 characters
What this means: The number, with its prefix and spaces, went over the field limit.
This field is too long
What this means: Allergies, medication or chronic conditions passed 5000 characters.
Must be a positive number
What this means: Height or weight was entered as zero or a negative number.
Who has access
Practitioner Clinic AdminA patient edits only their own profile in the clinic they have selected. The same person treated at two clinics has two separate profiles — filling in one does not fill in the other.
On the clinic side, the profile is visible to every role with access to the patient card and editable by a role with the right to change patient data. Every save — including one made by the patient — leaves an entry in the audit log, so it is visible who changed the allergies and when.
