Medical events go out to P1 on their own, in the background. Nobody clicks "send" — the event is created the moment you close the visit and travels on by queue. Reporting never blocks work in the clinic: if P1 does not answer, the visit still ends and the event waits.
What goes out and when
| What you do in Heltio | What goes to P1 |
|---|---|
| You complete a visit | Visit |
| You cancel an already-reported visit | Cancellation |
| You change the date, time, visit type, practitioner or room | Correction |
| You close a visit with an e-referral attached | Referral fulfilment |
Changes that touch none of those fields — an edit to a note, an added attachment — do not trigger a correction.
How to do it
Check the state on the visit itself
On the visit there is a P1 reporting section in one of five states:
- Reported — with a date under the Reported label.
- Sending.
- Will retry automatically — annotated Nothing for you to do.
- Needs an administrator — annotated Administrator action required.
- Not reported.
Under the state stands a sentence explaining the cause. This is the quickest route to answering "did this particular visit go out".
Go through the stalled events
The P1 Health Dashboard gathers the whole clinic. The counters at the top are Pending, Stalled, Failed (permanent) and Last Success.
The Stalled events list has the columns Type, Status, Attempts, Created and Last error, plus a status filter. The event statuses are Pending, Submitting, Submitted, Retrying, Failed (permanent), Blocked — missing PESEL/passport, Stalled — admin attention required and Not applicable.
Fix the cause, then retry
The order matters: remove the reason first, and only then click Retry now. Retrying without a fix gives the same error and burns an attempt. The app asks Retry event? and acknowledges with Event queued for retry.
Export the log for an inspection
Export audit log (last 30 days) downloads the record of submissions from a chosen date range. It is the first file an inspection or technical support will ask for.
When something does not work
The patient's PESEL number is missing. Add it to the patient record and the report will be sent automatically.
What this means: PESEL is a mandatory field of a medical-event report, and the patient record does not have one.
PESEL is not a valid Polish national ID
What this means: A number is entered but fails the validity check — usually a typo or transposed digits.
The facility's P1 identifiers are missing from the configuration. A clinic administrator has to fill them in under P1 settings — until then this visit will not be reported.
What this means: The P1 wizard was not finished — the register book number or the identifiers assigned by CeZ are missing.
Practitioner is missing NPWZ
What this means: The practitioner running the visit has no professional licence number in the practitioner identifiers step.
The CeZ system is temporarily unavailable. Nothing for you to do — we will send the report again automatically.
What this means: The Centrum e-Zdrowia server did not answer.
This visit was not sent to P1 — reporting is switched off in the system configuration.
What this means: The reporting transport is disabled, so no visit in this clinic goes out.
The facility's medical-domain code is not confirmed in the CeZ dictionary.
What this means: A domain code was entered in the **Reporting channels** step that Heltio cannot send together with a descriptive name.
Who has access
Practitioner Clinic AdminThe reporting state on a visit is seen by the practitioner running it. The health dashboard, retrying events and exporting the audit log are for the clinic owner and administrator.
