Online payments

Three settlement modes for a booking — pay at visit, deposit or full prepayment — with an override available for a single service. Payments are handled by Przelewy24; Heltio never touches the patient's card details.

Online payments settle one question: does the patient pay at the moment they book. You pick one mode for the whole clinic and — where needed — override it for selected services.

Three modes, named exactly as the screen names them:

  • Pay at visit — no online payment, the patient pays in person.
  • Deposit — the patient prepays a percentage of the price when booking, the rest at the visit.
  • Full prepayment — the patient pays the whole amount when booking.

How to do it

Verify the payout account first

Online payments cannot be switched on until the clinic has a verified merchant account with Przelewy24. You go through the verification under Settings → Bank Payouts: you fill in the Przelewy24 sub-merchant onboarding (company name, NIP, REGON, address, representative's details, IBAN) and submit it for verification. The status is on the same page — Pending, In review, Verified, Rejected or Suspended.

Switch online payments on

On the Online payments screen, flip the Online payments section. The app asks for confirmation and describes the effect: on enabling "Patients are charged online when they book.", on disabling "Patients will pay at the visit; no online charges will run."

Set the default mode

The Default payment mode section applies to every service that has no setting of its own. Choosing Deposit reveals a Deposit percent field — a value from 1 to 100, taken from the service price. Save defaults closes the section.

Override the mode for a chosen service

The Per-service overrides section lists the catalog with the columns service, mode and Deposit %. By default every row says Using clinic default method. Click Edit, pick a mode — or Inherit clinic default to go back to the clinic setting — and save.

This is the place for a sensible compromise: full prepayment for a first visit and for home consultations, pay at visit for everything else.

Take a payment during the day

Online payment is useful outside booking too. In the calendar, in the appointment menu, Charge now… lets you pick a route: Patient's phone (QR) — you show the code on screen and the patient scans it — or Kiosk on this device. The code dialog waits for the result and confirms with Paid ✓.

From the appointment panel you can also send a payment link by email or SMS, three times a day at most.

When something does not work

Error

Online payments cannot be turned on until this clinic's payout account has passed verification (KYC).

What this means: The clinic has not finished the Przelewy24 merchant registration, or the verification is still under way.

What to do: Open **Settings → Bank Payouts** and finish the **Przelewy24 sub-merchant onboarding**. Until it is approved, patients pay on the spot.
Warning

Payments are enabled but sandbox credentials are not configured. Bookings will fail.

What this means: Payments were switched on, but the test environment does not have the full set of provider credentials.

What to do: Complete the provider configuration, or temporarily switch online payments off so that bookings go through.
Warning

Deposit percent must be between 1 and 100.

What this means: The Deposit percent field holds 0, a negative value, or a number greater than 100.

What to do: Enter a number in the 1–100 range. If you want to take the whole amount, pick the **Full prepayment** mode rather than a 100% deposit.
Error

This clinic's deposit configuration is incomplete. Please contact the clinic.

What this means: A patient sees this at booking when the Deposit mode is selected but the percentage was never set.

What to do: Open **Default payment mode** and fill in the **Deposit percent**. The patient cannot finish booking while that field is empty.
Warning

This service requires online payment, so it cannot be booked as an instant reservation.

What this means: A service covered by prepayment was chosen through the quick-booking path, which skips the payment step.

What to do: Go back and pick the service from the list — the payment step then appears.
Warning

Payment failed — your slot has been released. Please try again.

What this means: The patient did not finish paying within the time window, so the booking expired and the slot returned to the pool.

What to do: Ask the patient to book again, or book them by hand from the calendar and take the payment on the spot.

Who has access

Clinic Admin

The payment modes and the online-payments toggle are set by the clinic owner or an administrator. Reception and practitioners use the finished configuration — taking a payment with a QR code, sending a link, accepting money on the spot.
