Patient Reviews is the screen where ratings given after a visit are meant to collect — one star rating, a few tags and an optional comment. In the sidebar: Reports → Patient Reviews.
Heltio records a review request the moment a practitioner ends a visit with the Complete Appointment button — one request per appointment, and at most one review from a patient about a given practitioner. The request does not go out by SMS or email, and it expires after 14 days.
How to do it
Pick a period
Four buttons above the table: Last 7 days, Last 30 days, Last 90 days, All time. The screen opens on the last 30 days.
Read the three cards
Average Rating (on a scale up to 5), Total Reviews and Response Rate — the share of patients who answered a review request.
Look at the tag breakdown and the trend
Tag Breakdown is a list of tags with counters: Punctual, Clear explanations, Thorough, Clean facility, Easy access / parking, but also Long wait, Rushed appointment, Poor communication. The patient picks them, up to ten. Below, Weekly Trend plots the average rating over time. Both sections only appear once there is data.
Go through the review table
Columns: Date, Practitioner, Rating, Tags, Status, Comment. The Status column carries an Anonymous badge when the patient hid their identity from the practitioner, plus an icon on reviews the practitioner has replied to. Long lists are extended with the Load more button.
Export the data
Export CSV downloads every review from the selected period, not just the visible page of the table. The button is disabled while there is not a single review. The file contains the text of the comments — handle it as carefully as you handle records.
When something does not work
No patient reviews yet.
What this means: This is the normal state today: review requests are created after completed appointments, but the patient has nowhere to fill them in.
No reviews match the selected filters.
What this means: Reviews exist, but not in this time window.
Failed to load review data.
What this means: The same message appears both when permissions are missing and when the fetch fails. Underneath it stands **Please try again later.**
Who has access
Clinic AdminThe screen is for the clinic owner and administrator; every visit is recorded in the audit log. There is no separate "my ratings" view for a practitioner for now.
These ratings are internal. Public reviews shown on the clinic page are described in Public reviews and ratings — a different flow with different display rules.
